Annual Meeting

 

Our annual meeting was called to order on November 13 at 7 pm at 4903 Fox Creek Court. In attendance were Len Rice, Mike and Clare Loxtercamp, and Carol Kalinowski. Three Proxies were received

 

Len Rice gave proof of notice.  A motion to dispense with reading of the minutes form our last meeting was made, seconded, and passed unanimously.

 

Len reported that we had one homeowner with outstanding dues that along with late and attorney's fees totaled $299.65.  The case is currently in progress.

ASAP paving failed to complete the sealcoating of the pipestems and is refunding the difference between the deposit and the amount completed.  Only Yellow Poplar and Claybank have been done so far.  The other pipestems will be sealed by a different company in the spring.  The cost of the pipestem maintenance was less than expected due to the good condition of the asphalt. (see last bulleted item in budget notes).

 

Clare reported that the directories were complete.  She also summarized the state of our finances.

Several comments are needed: 

 

o       The Accounting expenses were out of line with our usual projections.  We are researching this discrepancy and will adjust the budget accordingly.

o       2005 actual income does not include the outstanding $300 owed by one homeowner. This will be collected by year end or a lien placed on that home.

o       The landscaping budget reflects the fees charged by AL&L for maintenance of the common area. Len Rice reported that his son David is interested in doing the same common area maintenance items (mowing, fertilizing, mulching, etc.) for $4700.  We would like homeowners to comment on this proposal before making a final decision. Please forward comments to any board member.

o       Dues have been low and stable, if not decreasing, over the past several years.  The increase in dues to $100 reflects an increase in costs that had been paid for last year with carryover from the 2004 budget. 

o       Pipestem accounts have grown beyond the needs for repair and maintenance.  Therefore we will temporarily discontinue additional pipestem assessments.

 

            Four board of directors positions were open this year. Mike and Clare Loxtercamp were elected to finish out the remaining 2 years of 2 board positions.  Carol Kalinowski and Janet Bourroughs were elected to new 3 year terms.

Storm Pond Painting

Thanks to Jeff and Wendy Butzke for spearheading the repainting of the storm pond concrete drainage st
